Welcome to In The Room. These Terms and Conditions govern your use of our website, platform, and services, including event registration, badge printing, RFID tracking, and other event management solutions. By accessing or using our services, you agree to be bound by these terms.

If you do not agree with any part of these Terms and Conditions, please do not use our services.

1. Definitions

  • “We,” “Us,” or “Our”: Refers to In The Room.
  • “You” or “User”: Refers to anyone accessing or using our website or services.
  • “Services”: Refers to the event management services provided by In The Room, including but not limited to event registration, badge printing, QR code scanning, RFID tracking, and related solutions.

2. Use of Our Services

By using our services, you agree to comply with the following:

  • Eligibility: You must be at least 18 years old to use our services. By using our platform, you confirm that you meet this requirement.
  • Account Registration: In order to use certain services, you may need to register for an account. You are responsible for maintaining the confidentiality of your account login information and for any activity that occurs under your account.
  • Accurate Information: You agree to provide accurate and complete information when using our services, including during registration for events or while using QR codes or RFID features.
  • Prohibited Use: You agree not to use our services for any unlawful or prohibited purposes, including but not limited to violating intellectual property rights, distributing harmful software, or engaging in fraudulent activities.

3. Event Registration and Badge Printing

  • Registration: Our platform allows users to register for events, manage attendees, and print badges. You are responsible for ensuring that registration details provided by attendees are accurate and up to date.
  • Badge Printing: If using our badge printing services, you agree that all information printed on the badges is accurate. In The Room is not liable for any misprints due to incorrect data input.
  • VIP and Tiered Access: For events offering different levels of access (e.g., VIP, Super VIP), our system will display available upgrade options based on attendee status. Users are responsible for ensuring that any upgrades are reflected in the badge printing process.

4. Vendor and Sponsor Interaction

  • Vendor Scanning: At events, vendors and sponsors may scan attendee badges to collect contact details via QR codes. By participating in the event, attendees consent to this data being collected and shared with vendors or sponsors.
  • Data Collection: You agree that data collected during the event (such as through survey opt-ins or badge scanning) may be shared with sponsors or vendors for post-event marketing purposes, provided attendees have given consent.

5. Payments and Fees

  • Event Fees: If you are using our platform for event registration or processing payments (e.g., for VIP upgrades), you agree to pay all fees associated with the services you use.
  • Payment Processing: All payments are processed through secure third-party payment providers. You agree to provide valid payment information and authorize us to charge you for the services you use.
  • Refunds: Refund policies are determined by the event organizer and not by In The Room. We are not responsible for any refunds or chargebacks related to event registrations or payments.

6. Intellectual Property

  • Ownership: All content, designs, software, and intellectual property used in connection with our services are the exclusive property of In The Room or its licensors. You may not use, reproduce, or distribute any of our intellectual property without our prior written consent.
  • Trademarks: The name, logo, and other branding of In The Room are protected by applicable trademark laws. You may not use our trademarks without permission.

7. Privacy

Your use of our services is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information. By using our services, you consent to the practices described in the Privacy Policy.

8. Limitation of Liability

To the fullest extent permitted by law, In The Room will not be liable for any indirect, incidental, special, or consequential damages arising from or related to your use of our services, including but not limited to damages for loss of profits, data, or goodwill.
